Privacy Policy

How we collect, use, and protect your personal data.

Last updated: 8 August 2026

Prime Automate Systems (“we”, “us”, or “our”) respects your privacy and is committed to protecting your personal data. This Privacy Policy explains what information we collect through primeautomatesystems.com (the “Site”), why we collect it, and how we handle it in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Overview

We collect the minimum amount of personal data needed to respond to your enquiries, deliver the free resources you request, and run this Site. We do not sell your personal data.

2. Data Controller

Prime Automate Systems, based in Bishop's Stortford, Hertfordshire, United Kingdom, is the data controller responsible for your personal data collected through this Site. You can reach us at admin@primeautomatesystems.com.

3. Data We Collect

We collect personal data in the following ways:

  • Automation Blueprint / contact form — full name, business name, email address, phone number, business type, team size, and details about your operations, challenges, goals, timeline, and budget that you choose to share with us.
  • Newsletter sign-up — your email address, when you subscribe to our free newsletter.
  • Site analytics — aggregated, anonymised usage data such as pages visited, referral source, device type, and general location (country/region), collected without cookies or persistent identifiers.
  • Correspondence — any information you provide when you email us directly or reply to our messages.

We do not knowingly collect payment card details on this Site.

4. How We Use Your Data

We use your personal data to:

  • Respond to enquiries and prepare your personalised automation blueprint or audit;
  • Deliver the newsletter, guides, or downloads you have requested;
  • Provide, discuss, and deliver consultancy or automation services you engage us for;
  • Understand how the Site is used so we can improve our content; and
  • Meet our legal, accounting, and regulatory obligations.

Under UK GDPR, we rely on the following legal bases:

  • Consent — for newsletter sign-ups and marketing communications, which you can withdraw at any time.
  • Contract — where processing is necessary to prepare a quote or deliver services you have requested.
  • Legitimate interests — for responding to enquiries, running the audit/blueprint process, and improving the Site, where this does not override your rights.
  • Legal obligation — where we must retain records for tax, accounting, or regulatory reasons.

6. Sharing & Third-Party Processors

We do not sell your personal data. We share data with a small number of trusted service providers who process it on our behalf, strictly to operate the Site and deliver our services:

  • Resend — delivers blueprint/contact form submissions to our inbox by email.
  • Beehiiv — manages our email newsletter and subscriber list.
  • Plausible Analytics — provides privacy-friendly, cookieless website analytics.
  • Vercel — hosts the Site and processes standard web request logs.
  • Google Search Console — helps us monitor Site performance in Google Search.

Each provider is only given access to the data it needs to perform its function, and is bound by its own privacy and security obligations. We may also disclose data where required by law, or to protect our legal rights.

7. Cookies & Analytics

We use Plausible Analytics, a privacy-focused analytics tool that does not use cookies and does not collect or store any personally identifiable information. Because we do not use tracking or advertising cookies, this Site does not display a cookie consent banner. If this changes in future, we will update this Policy and request consent where required.

8. Data Retention

We retain contact and blueprint form submissions for as long as reasonably necessary to respond to your enquiry and, where you become a client, for the duration of our engagement plus a period afterwards to meet accounting and legal requirements (typically up to 7 years). Newsletter data is retained until you unsubscribe. You can ask us to delete your data sooner at any time — see Section 10.

9. International Transfers

Some of our service providers (including Resend, Beehiiv, and Vercel) may process data on servers located outside the UK, including in the United States. Where this occurs, we rely on appropriate safeguards recognised under UK GDPR, such as Standard Contractual Clauses or the provider's equivalent certification, to ensure your data remains protected.

10. Your Rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you;
  • Request correction of inaccurate or incomplete data;
  • Request erasure of your data (“right to be forgotten”);
  • Restrict or object to certain processing;
  • Request a portable copy of your data; and
  • Withdraw consent at any time (for example, by unsubscribing from our newsletter).

To exercise any of these rights, email admin@primeautomatesystems.com. You also have the right to lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk.

11. Security

We use reasonable technical and organisational measures — including encrypted connections (HTTPS) and access-controlled third-party platforms — to protect your personal data against unauthorised access, loss, or misuse. No method of transmission over the internet is completely secure, so we cannot guarantee absolute security.

12. Children's Privacy

This Site and our services are intended for business owners and professionals. We do not knowingly collect personal data from anyone under the age of 16.

13. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. The “Last updated” date at the top of this page shows when it was last revised. We encourage you to review this page periodically.
